A medical office receptionist reports to the Clinic Ops Manager and is responsible for basic clerical tasks such as answering phones, greeting patients and visitors, and scheduling appointments in a professional and timely manner.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: (This list may not include all of the duties assigned.)

  • Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself.
  • Greet patients upon arrival, sign them in and obtain insurance information and any other necessary data.
  • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents.
  • Process payments from patients for co-pays and uninsured visits.
  • Schedule appointments for new and recurring patients based on Physician and PA/NP availability.
  • Maintain hard copy patient records as well as the files stored in the main system.
  • Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services.
  • Provide patients with support and guidance as needed.
  • Answer patient questions and provide assistance and directions when necessary.
  • Respond to emails that arrive using our general office email address.
  • Register new patients and update necessary records.
  • Distribute forms and paperwork to patients and then check them over to ensure that required fields are completed appropriately.
  • Process bills, invoices, and patient payments in office.
  • Maintain confidentiality of all patient records.
  • Enhances the organization’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments; promotes customer service excellence.
  • Manage inventory of necessary office supplies and coordinate reordering.
  • Ensure that the waiting room environment remains quiet, calm, and welcoming.
  • Uphold the positive reputation of our medical office by always treating visitors in a friendly, welcoming, and compassionate manner.
  • Serves and protects the clinic by adhering to professional standards, organizational policies and procedures, federal, state, and local requirements, and HIPAA standards.
  • Other duties may be assigned, as required.


  • Requires a high school diploma.
  • Medical Assistant certificate or equivalent experience such as 2 years of experience in a related field.
  • Ability to handle a fast-paced environment and prioritize task based on importance.
  • Possess strong organizational skills.
  • Excellent verbal and written communication skills. Posses exceptional interpersonal communication skills.
  • Able to work collectively with administrative team associates.
  • Excellent phone etiquette.
  • Able to work with minimum supervision.
  • Work schedule may change based on patient demand.

  • Ability to type 40+ wpm and have experience with healthcare software.
  • Have the appropriate level of behavioral maturity and patience in handling patients.
  • Have diplomacy and tact in handling difficult and irate patients.
  • Ability to work effectively with men and transgender women of diverse races, ethnicities, ages, and sexual orientation in a multicultural environment.



  • Must be able to pass a pre-employment drug test and a background check to include a 7-year criminal, 10-year SSN & employer history reference check
